Terms and Conditions for Participation in Ultra Trail Dubai

Please read these Terms & Conditions carefully before registering for or participating in the Ultra Trail Dubai (UTD) event. By submitting your application or participating in the event, you agree to abide by these Terms & Conditions, including any updates made by the organiser.

1. Introduction and Scope

1.1 These Terms & Conditions (the “Agreement”) apply to all participants entering or taking part in the Ultra Trail Dubai event (“the Event”), organised by Worlds Iconic Events LLC (“WIE”).

1.2 By registering, you agree to comply with these Terms & Conditions and all applicable local and international laws.

2. Definitions

   • You / Your: The person submitting an application or participating in the Event (or, where applicable, a parent/guardian acting on behalf of a participant under 18).
   • We / Us / WIE: Worlds Iconic Events, the organiser of Ultra Trail Dubai.
   • Event: Ultra Trail Dubai and/or any associated races, activities, or event formats.
   • Fee: The fee payable to enter the Event.
   • Force Majeure: Any situation beyond reasonable control that prevents the Event from being held.
   • Entry Email: The confirmation email with race-specific instructions, links, and relevant event information.

3. Entry Conditions

3.1 Entry is accepted via:
   • Direct online registration via Haku, the official and only ticketing platform for Ultra Trail Dubai
   • Sponsor, charity, or promotional allocation also via Haku, and only on approval from WIE.

3.2 By registering, you warrant that:
   • All information submitted is complete and accurate
   • You are medically fit and have adequately trained for your selected race distance
   • You meet the entry requirements for your selected UTD distance
   • You accept responsibility for any participants registered under your account (“my others”)
   • You will complete the full registration process before race day
   • You are of legal age: 16 years or older for UTD15, and 20 years or older for UTD30, UTD50 and UTD90

3.3 Shirt and merchandise sizes cannot be changed on-site. You will receive the size allocated during your registration process.

3.4 Finisher medals and prizes must be collected during the designated award ceremony on event weekend. No medals or prizes will be shipped. Failure to attend may result in forfeiture.

3.5 WIE reserves the right to accept or reject entries at its sole discretion.

3.6 It is the responsibility of each entrant to choose the appropriate race category and understand the corresponding cut-off times and gear requirements.

4. Assumption of Risk

4.1 Participation in UTD involves inherent risks, including (but not limited to): trail hazards, extreme weather, wildlife, dehydration, terrain instability, navigation errors, and remoteness.

4.2 You assume full responsibility for your own safety and well-being during the Event, and accept all risks, whether known or unknown.

4.3 Running with strollers, pets, or unregistered companions is not permitted on any UTD route.

5. Event Safety and Conduct

5.1 You agree to comply with all safety and conduct instructions issued by event marshals, medical teams, or officials.

5.2 You may not:
   • Sell, gift, or transfer your race entry or bib to another person
   • Participate under the influence of drugs or alcohol
   • Use another runner’s bib, falsify entry information, or participate with counterfeit credentials
   • Carry animals, wheeled transport (unless pre-approved), or equipment deemed unsafe
   • Engage in unsportsmanlike behaviour, including harassment, discriminatory language, or disruptive actions
   • Smoke or vape on the course or event premises

6. Medical Consent

6.1 By entering, you consent to medical treatment deemed necessary by the Event’s official medical team.

6.2 Medical decisions made in the interest of participant safety — including disqualification or race withdrawal — are final and binding.

7. Event Changes and Cancellation

7.1 WIE reserves the right to modify the Event, including changes to:
   • Date, time, or location
   • Course route or elevation
   • Distance formats
   • Safety protocols or support structures

7.2 In the case of cancellation due to Force Majeure or regulatory restrictions:
   • WIE will communicate changes via email and website
   • Refunds, deferrals, or alternative options may be offered at WIE’s sole discretion
   • WIE is not responsible for third-party costs such as travel, accommodation, or visas

8. Refund & Insurance Policy

8.1 Entry fees are non-refundable under all circumstances unless covered by optional refund insurance, should this be available.

9. Image & Media Consent

9.1 By participating, you grant WIE the right to use your name, voice, and image in UTD-related marketing and promotional content in perpetuity, globally, without compensation.

9.2 Commercial filming or media capture requires prior written consent. Event permits do not automatically extend to third parties.

10. Data Protection and Privacy

10.1 WIE will process your personal data in accordance with applicable laws and our privacy policy for purposes including:
   • Registration and race-day logistics
   • Safety and emergency contact protocols
   • Publishing live and post-event results
   • Media and promotional use (where applicable)
   • Sponsor, charity, or platform integrations

11. Disqualification and Sanctions

11.1 Participants may be disqualified or banned for any of the following:
   • Using someone else’s bib or credentials
   • Providing false information during entry
   • Violating course rules, support zones, or gear checks
   • Engaging in misconduct or endangering others
   • Not adhering to the Mandatory Equipment list or the event Rules & Regulations

11.2 Repeated or serious violations may result in permanent bans from UTD and other WIE events.

12. Limitation of Liability

12.1 To the extent permitted by law, WIE is not liable for:
   • Any personal injury, property damage, or loss sustained before, during, or after the Event
   • Indirect or consequential damages
   • COVID-19 or other communicable illness-related impacts unless caused by gross negligence

13. General

13.1 These Terms & Conditions are governed by the laws of the United Arab Emirates.

13.2 Disputes will be resolved by the courts of the UAE, unless consumer protection laws require otherwise.

13.3 If any clause of this Agreement is deemed unenforceable, the remaining provisions remain in effect.

13.4 WIE reserves the right to update these Terms at any time. Continued participation after such updates indicates acceptance.
